I just checked Armando and Archivarius has indexed the comments in a word document on my harddrive. It's not very pretty in terms of formatting but it's there!

Here's the comment I searched for in word:

That's great news! I have so many "comments" everywhere in my docs and only X1 can find them... BUT, X1 doesn't work well for my biggest books (more then 300 p. -- Copernic is Okay, but won't find my comments...  :( ), and even if X1 detects the comments, it will not actually show them! So, all in all, Archivarius is probably the best solution.

I'll have to try it in the Weekend.

The reason why I'm asking is that some desktop search softwares (like Copernic) won't index everything in MS Word Documents ("comments" seem to be one thing that's left on the side...). But I'll download Archivarius and see...

I feel that I have to inform EverNote users here about a well hidden something I thought was not possible to do (it's undocumented -- but some resident experts might already know about it) : the ability to completely exclude  a category from the Note list : the use of the NOT operator.

Basically, "click on Cat A [a category you want too look into] in the Category panel (top left), then Ctrl+click on Cat B [the category you want to subtract] in the Intersection panel (bottom left)" **.... and... you've "subtracted" Cat B !

find the software I used two minutes ago. It Could be faster to me if i could find it in a easier way (a pop-up maybe?) in the FARR.

I'm not sure if I understood properly... But here's what you could call a workaround : what I do to "find the software I used two minutes ago", is just make Farr display more results in the list (max. entries to display in normal results list: 50 ; max. entries to display in extended results list: 70), set the max. files to keep in launch history to a relatively high number (300), and tick the box beside Blank search shows files from launch history. That way, when I blank the search field, I get a list of my previous run programs and looked at documents. I actually often use Farr (Find and Run Robot) as a history list. But, for that to work, you must use Farr to start… almost everything… Which I do..  : )

In the mean time, there is a software that probably does exactly what you’re looking for : TaskTracker. I’ve tried in the past, used for a while, and found that Farr + X1 was enough to track anything related to my files or software use. TaskTracker just added one more level of organization I had to think about… I didn’t want that.

I'm still delighted with Archivarius - the longer I use it/get accustomed to the way things are done in it the more I appreciate how quick and light on its feet it is and the less I miss X1.

Darwin, I think you "acknowledged" the fact that Archivarius doesn't index MS word "comments"... Or does it ? I might give Archivarius another trial, after all... But only if it does index my beloved comments...

Superboyac : would you know about EverNote’s encryption format?
Armando, I don't know anything about the format specifically.  I noticed you asked this already in Evernote's forum, hopefully you get an answer.  Here's something I found on the forums:
A user-entered password is an arbitrary non zero length text message which is used to produce a 128-bit 'digest' or 'fingerprint' using MD5 algorithm. This 'fingerprint' is used as a seed to build 64-bit RC2 effective key by RC2 expansion and effective key bit size adjustment algorithm. After encryption or decryption is finished, keys, 'fingerprints' and passwords are physically erased from memory and there is no way to restore encryption key except providing the correct password again. (Even our own engineering team would not be able to help you recover if you forget your password.)

Armando, what do you mean by "note titles"?  I'm not sure I've found that feature in my Evernote.

You have to enable "Note List" in the "View" menu.
In the "note list", you can modify the automatically assigned titles by double-clicking on them.

MB has only 2 virtualization levels, the tree itself and the labeling system.


myBase is really great, but this (above) is one thing that bothers me.

Also, compared to a few other solutions, some functions are a bit slow sometimes: the searching function, the loading of saved Web pages, the pasting of big documents, the switching between "Webpage" view and "text Note" view, the indexing (the fact that myBase doesn't index automatically -- or can't be set to index at fixed times, etc., is also a bit of turnoff for me). There are many other small things that bother me, like the fact that I usually have to give titles to each of my inserted notes, that I have make sure it’s in the right category (other software can automate these processes), the fact that I can't draw or handwrite, etc.

Like you said, the storage system seems to be pretty much bullet proof (I don't know if it's possible to say the same thing about EverNote or Surfulator, for instance. But I'm not a database specialist and I wouldn't know how to measure database "solidity". EverNote or surfulater might be perfectly okay. D<b>oes anyone know about these/their database "engine"?</b>). The export/import possibilities are great, the formatting options too, etc. Wow.

But... Even if I can see all the positive aspects in myBase, and even is I can see that EverNote is a bit less sophisticated and complex than myBase (or maybe even UltraRecall -- but I just haven't tried it yet...), I keep coming back to... EverNote for my note taking. I must say that it's very intuitive :
-   the quick note, web or image “inserting action” (ctrl+alt+n or ctrl+alt+v)
-   the searching,
-   the categorizing,
-   the importing,
-   the backup options, etc.

it's all very smooth, quick and reliable. Well, it's been reliable for me -- I don't know about others. I find it's got the performance I’m looking for (the tagging system and the searching is just amazing), the stability (it hasn’t crashed yet), and even... the security (but… I’m not as security specialist, and I haven't tried to hack into my own protected database yet... <b>Superboyac : would you know about EverNote’s encryption format?</b>)

There were also many great changes since superboyac great gigantic review (thanks! I've discovered many many things) : EverNote can now have multiple dataBases open at the same time (albeit not multiple windows of the <b>same</b>dataBase -- too bad...), links to other notes, templates with tables, <b>note titles</b>(editable, like the date), a note list, full path view of the databases, a universal clipper, the manual sorting of categories, etc., etc. A really great release. 

Of course, I still find that there could be some additional feature : more options for shortcut keys, more format to export too, a "find and replace" option, the possibility to have several opened windows of the same database, a highlighter tool, a "comment"  tool, a word count tool, and probably a couple other things I forget... But… it’s still pretty good for what I need, and … the difference between the free version and the paid version is mostly in relation with hand writing and character recognition.

Might try Surfulator again after what superboyac just said...  :-\

It seems like chs could do that easily... But I understand you reservation.
The thing is, since I basically tag by pasting short text terms, it's just seems natural to use chs.

id be interested in hearing a dream list of features for a specialized tag-helper tool..

Here you go...

After reading a bit about what’s available, what I'd want from specialized tag-helper tool is to be able to:

- Tag paragraphs, sentences, words, inside documents -- not only the individual files as a whole ,

- edit tags and group of tags to individual/multiple files/directories.

- Create as many tags or categories as I want, and being able to organize them in hierarchical structures (a bit like EverNote and other software do).

- Insert tags rapidly with some kind of context menu or floating bar launched by a shortcut key -- a bit like FARR or CHS, etc... Drag and drop files directly to the bar could be good thing (if it's a file...) or using the keyboard to navigate through tags, etc. ; otherwise, just typing in the floating bar and pressing enter (or something like that… Just thinking out loud…  :huh: ) would insert a tag where the cursor is in the text of the active window.

- Monitor new files as they are saved (tag2find seems to offer such a feature -- but can't say how it works because haven't been able to play with it) so that they can instantly be tagged, or named appropriately (actually this is one feature that I find is missing from dialog box extenders: templates to name files in a rigorous and coherent way), and also show me which files aren't tagged -- although that last thing could easily be done with a Desktop Search program if it's compatible with the tagging system...

- Icons for the different Tags would be nice.

- A nice set of configurable keyboard shortcuts.

- Suggest a list of general and specialized tags for everyday use...


AND For the tag finding part :

1- I find that the tags should be “read” by popular Desktop Search tools so that one knows she will always be able to accurately find the tags, whether or not there is some kind of “tagging browser” coming with the “specialized tag-helper tool”... I Have no idea if that's possible (if not, well, see #2b), but why not concentrate “deep search” on one or two apps (FARR and X1/copernic/Archivarius…)? Makes the narrowing down of specific ideas much more precise.

And,

2a- the tagging utility should probably provide a light tag browser to manage (rename, classify, etc,) tags2b- And if it's not possible to use desktop search software to manage tags, I guess a small but powerful tagged file browser would be handy to be able to use different filters to make precise searches.
   
 
Tag2find looks like a fine app and seems to do some fun things (if only I could download it to try it) like:

But my main concern with the current "official" and hip tagging software is :

- Could my tags be just... lost  :(  if I move my files, change my OS, reinstall Windows, or any of these things I tend to do once in a while ? (tagging is a boring and a tedious thing to do if you have to do it for thousands of documents...). This is why I tend to think that Embedding the tag INTO the file might be a better option then having them floating separately. It might be a lot harder to change the tags quickly if they're embedded in the file though... But I'm not a programmer, so... who knows

- How about all my other home-brewed tags , Evernote tags, etc. (I use X1 or any other Desktop Search tool to find them ; what's great with EverNote is that you can export notes with their tags as text -- just love it)... ??? Would they be lost too ?...


Anyway. I hope I was able to transmit my ideas in an understandable language... Tell me what you think.

Anyway, I'm getting a bit better, but I still dream of that perfect system where all my data is easily accessible and where nothing is wasted.  :-[ . I know...
I OCR lots and lots of stuff (I despise paper...  :) It’s heavy and dusty), and I use a rigorous tagging system (a bit archaic though -- but haven't found a better way or software to insert "textual" tags easily in my documents ; tags I can read with any Desktop Search tool -- whether it's X1 or Beagle in Linux...)

If you want to try a Windows and hardware-friendly distro, check out Freespire or PCLinuxOS.

 agree... except for freespire. :) : (Freespire is certainly a fine choice... it' just... it's the installation process, and other things. Not sure I like it)

I think one should also check : Ubuntu, Open Suse and Mandriva (the "One" edition)... or any of the "big ones"... depending on your hardware. They're all pretty user friendly.

I'd start with PCLinuxOS (It's always been working well for me) then... maybe Ubuntu (it usually works too, and is well supported). PcLinuxOS is more KDE centered though -- a Gnome version is being plannde. They seem to work on most computers, the communities are great, and you generally find your way around any problem quite rapidly.

The latter problem seems to hold regardless of hardware while the former isn't really an issue on my wife's newer notebook (AMD Athlon 64 3500+ with a gig of RAM and dedicated graphics memory).

X1 often crashes when my notebook wakes up from hibernation or standby.
But I don't care anymore -- I just open it again, and it starts where it stopped…

As for the time it takes to open up… yes... I guess it depends on how much documents you index, and how much RAM and CPU power you have available, etc.  Copernic is much faster, but not as accurate (doesn't index MS Word "comments").

I've decided I don't mind waiting abit for X1. It's the only one which shows me everything I need. And it's not that slow. I might have a much smaller index than you.

You could probably use X1 to index a small part of your drive(s) (or only *.DOC fand PST files) and use something like Archivarius for all the other things -- In my experience, DS softwares can coexist peacefully. But you -- being a PhDer -- probably already have your own strategy!  :)

Well, using that logic, I guess you could make the claim that you could use Evernote in place of Word, Notepad, or really any application that is note/text editing related. But I think that most do not wish to do so, or the other journal/text editing/note-taking programs would be out of business!   :-\

The features that many look for are one's more specific to their needs, rather than taking generic applications and force-fitting them to do all.

But I'm not really comparing EverNote or The journal to MS word (even though I might have given that impression earlier).
And I'm comparing EverNote to the Journal because it actually does everything I want for a Journal.

Like said earlier, I like the fact that my text can be indexed with the Desktop Search software I use. This is the main reason why I brought MS Word in the picture (put it could be OpenOffice, or WordPad, or Even OneNote : if it's indexable...).

Also, too many apps for different, yet not that different, tasks, makes my life much more complicated: different formats, data scattered in different places, etc. Using the GTD approach, I try to centralize the way I gather data as  much as  I can.

But I can see why one would do that, and I totally respect that. I'm just too absent minded -- which is not very convenient when you're trying to write a thesis (don't worry, I'm not writing it in English!).

I use "The Journal" available at http://www.davidrm.com/thejournal/.  Definitely worth a look - they have a full-featured 45 day trial you can download.

I was looking for such a program for quite a while but was really limiting myself by requiring that the application have both a desktop PC and Pocket PC version available. But I finally gave up on that and started looking for simply the best PC journal software I could find - and The Journal fit the bill.  Excellent developer support with a very active Yahoo group (though I don't really like Yahoo groups!). This one gives me all that I need, plus has a lot of additional features that I am not presently using, but I hope to use someday.

It's not inexpensive, but it satisfies all of my requirements, and has some extras that are really great.

Oops - I just noticed that superboyac did mention this software in his initial post -- and he is correct in that this application is not really interactive with other applications, though you can link a number of other document types to it, as well as embed them in your journal pages.

I checked the features and compared them to EverNote. Interesting to see that the <b>free</b> version of EverNote seems to give the user almost <b>all</b> the same features. Doesn't it?

Some aspects of EverNote (like the searching capability, the tagging system, the Multiple Note Formats, The universal clipper, the support for various pen devices, etc.)actually seem even more powerful. But I'll see after trying The Journal.

Right now, I actually use EverNote in conjunction with a Word Document -- as I suggested before. But I guess I fcould rely exclusively on since it's got probably most of the features one might want for a journal (like : very very easy to see everything <b>chronologically AND sorted through the different categories</b>).

I guess I just love EverNote.  :)

It is strange that they changed their policy like that. I can understand charging business users but home users have so many other free choices these days who would pay $50 when you can use dozens of other apps for free.

For me X1 is ideal because I have about 10 archived PST files from MS Outlook and it is great to be able to search my entire email archive instantly without having Outlook waste time opening all the PST files every time.

I also like X1 because -- apart from WDS -- it's the only one I know that will properly index Word "Comments" (I make an extensive use of comments to insert notes as I read OCRed papers in MS word format, without destroying the layout).

lol well i got rid of it when it was free, it slowed me down too much, and that was on a amd x2 3800 with 1 gb of ram, so go figure, it was obviously very good at what it did but it was overkill for my needs, i dont have a lot of files and i know where most of em are, but i do lose them sometime :-[  ive been trying that locate32 for a little now, its much more my style

actually, it doesn't slow me down that much. I chose the least agressive settings...

I love the detailed search options I get with X1 and the accurate results.

I can truly understand this, because I tested X1 and was impressed.
But with WDS 3 being FREE....  ;)

Might be a bit more of resource hug though.
I tend to prefere Copernic, for speed and resource consumption.
But X1 offers more options...

EDIT : WOW, that's weird. X1 client was free for a short while, and now it's 50$ !!! Sorry about that. I guess I'll keep a backup of my version somewhere!!

Edit#2 : Yup. It used to be called "Enterprise Client" (mine is version 5.6.2), and now its "Professional Client" (v5.6.4)
