General Software Discussion / Using FileHamster to keep track of status of a job

I'm in the middle of trying to use FileHamster to keep track of a job - i.e. keep track of the status of the files I'm working on, also to help with overview of job.
Unfortunately I didnt start this at the beginning of this project, but it's going well all the same. I'm pestering them for bugfixes and minor improvements in the GUI, etc. in particular in the Report Window Plugin (also going well!).
I don't have much experience in this field, so any comments suggestions welcome.

I'm posting this here:
1) cause using FH this way simply hadn't really occurred to me before I started this (a couple months ago)
2) curious if anyone using FH this way already (till this I simply used FH for backup - backup with info about the particular revision)
3) curious what others think / or what you use for (something like) this

I'm using the full version of FileHamster - you would at a minimum need the Report Window plugin.


The 'Project'

There's hundred of files in this project, they all have to be
  • 'converted' to a new 'style' ('WEB' in the comments used below)
  • corrected/adjusted (usually)
  • approved
  • Finalised & PDF created


It's not rocket science :)

I make a FH revision with a comment at important stages of the work
When it gets toward the final stages I have a couple of 'default' comments (could be called tags really) e.g.

_working
WEB_DRAFT
WEB_correction
WEB_FINAL

Keeping an overview depends on there being well-defined 'tags' for the different phases of the job.


In the Report window here, I'm showing all files - no date filter, and the filename column is not showing (scrolled to the left).

lines coloured green = most recent revision of this file. This is very helpful (unfortunately you cant currently sort by it - but you can filter to show only most recent revisions i.e. those in green)


I can sort by:
~ Date - see most recent revisions
~ Comment - see all files at a particular stage e.g with 'DRAFT' I can see it's awaiting feedback, etc.
~ and naturally by Filepath+name (if you're looking at revisions of files within Folder 'X', the path below that folder is shown)


I can batch edit comments - add text before or after current comment, or simply edit the comment
e.g. when my 'WEB_FINAL' files are approved I can simply add 'Approved' - or when I create the final PDF version, I can add a comment to that effect


I havent really gotten to the final stage of the project yet - production of final PDF's - I think that's when all this will get really tested! Overall though I'm happy with the current setup. I have a few wishes listed below ('cons' merged with 'wishes'). I can easily check all this info - also, if I had to do something else & come back to this job in a month it would make that transition much easier.
I think the most helpful improvement to the programme would be the ability to open the 'actual' file (i.e. not the revision) from the Report window context menu - that way I could check where I left off & continue from there or work down the list or whatever - but all directly from within FileHamster (without having to go to my file manager & finding the relevant file there)


Pro's:
~ I make the comment as I save the file so there's no post-op work to be done (or forgotten) e.g. adding this info to some other programme
~ good for getting an overview of project status (statusbar says how many files selected), but also naturally to see status of an individual file
~ I imagine it would be very helpful if you're getting back to a job after a break

Would be Helpful:
~ Very helpful: - the ability to open the 'actual' file (i.e. not the revision) from the Report window context menu
~ Very helpful: - the ability to sort by item colour (green = most recent revision of this file) this is covered really by the ability to filter to show only the most recent revisions i.e. those in green

tomos, if you page down the PDFTK page to "Related Pages," you'll find two third-party GUIs for PDFTK.  I don't know if they'll do what you want, but they're free so might be worth a look.

thanks rj, I hadnt noticed the second one - judging from the screenshots though it doesnt cover it (the first one definitely doesnt) - will try it out in the morning anyways

Does anyone know to change PDF metadata, in particular to synch Created & Modified dates with those of the actual file ?
The PDF files in question have *no* Modified and/or Created dates in the metadata - so maybe syncing is the wrong word - I just need the info copied where this info *not* in the metadata - if all info has to be synched that's probably okay too.

I'd like to be able to batch process files so a GUI isn't necessary. OTOH, I suspect that PDFTK could possibly do this or ExifTool probably, but they both command line with minimal (for my level) help or instructions and I cant figure them out.

e.g. ExifTool says:
-[GROUP:]TAG<=FILE   Sets tag value from contents of specified file
The download has to be renamed to exiftool.exe for command line use - on download it's exiftool(-k).exe
That's as far as I got there... [edit] a link to info about PDF tags linked to from ExifTools [/edit]

Tip: Not all the document information can be modified. Many fields are set at the time of creation or when last edited. For example, creation time, creator, producer, optimization, PDF version, etc.
so that doesnt seem to be of help.

It appears that Benubird Free version does "PDF metadata to file metadata syncing". Benubird discussed here.
But that's probably a bit like using a sledgehammer to hammer in a tack ?

There's software out there that claims to do this - expensive and I dont know would I trust a lot of it (it's obviously a big market and there some very basic tools being sold at very high prices out there - e.g. I came across what was being sold as a PDF printer for Word, for $70, $30 to split a file etc etc. [all at same site] ouch. ouch.)

Louis Kahn's son Nathaniel made a documentary film My Architect: A Son's Journey- I saw it over 5 years ago so it's not that fresh in my mind but it's very much worth a look.

nuance has nice layout features and powerful editing features.  But I wouldn't use it for my viewer.

superboyac, I take it that refers to the full Nuance package - you don't mean the free reader has any editing features?

I have a password defined for my user and I have to, it's required by a remote control tool I use. I'm willing to add support for auto-login at boot myself if you do not want to do it.

I use Autohotkey.  Can you translate the script from AutoIt?

I dont know why it says AutoIT (I think it's the nearest option in the drop-down code-highlighting when posting). Skwire's scripts normally work as AHK files (& are ahk I'm fairly sure)

Zoner may be cheaper, but it's not the same level of product. I suspect it is upgraded more frequently too since it is now on v 12 and 11 was described on one site as being new in March 2009.

if that's the case, upgrades for the last 12 months would have cost around 80$ (based on the current upgrade price from v.11 of $40)

when i changed the archivetime to every 10 minutes, but now i get a new file every 10 minutes.
It's in the format Log_yyyy_MM_dd_dddd[number].anu
like Log_yyyy_MM_dd_dddd[1].anu and Log_yyyy_MM_dd_dddd[2].anu and Log_yyyy_MM_dd_dddd[3].anu

isn't it possible to just append to the file if it already exists in the format.

This is actually a very elegant way to solve the issue.  Anybody else have thoughts on this?

would that mean that you might archive every 10 minutes, but you would only have one archived text file for each day if your Log timestamp doesnt include hours or minutes ?

unfortunately the answer is becoming a yes

i think there is a key distinction one needs to make in terms of what is and is not a subscription based license.  as long as the previous version still works after the period, then i think you are talking about an upgrade price not a subscription fee.  it's only when the program stops working and you have to pay to continue using the software, that you have a subscription system.

Thanks, mouser.  The photos were made for a digital photography evening class, from about a week before Christmas to end end of January.  It was bitterly cold, but the light was some of the most beautiful I have ever seen.

I have been looking for a long time for a program that will shrink/compress a pdf file and just came across this post.  The program that SKA mentioned called PDFShrinK 4.5 http://www.apagoinc.com/prod_home.php?prod_id=36 is incredible.  It has the capability to reduce most of the files I tested to a fraction of the original size with very little loss in resolution.  Great find!!!  :Thmbsup:

I was looking for something for a once off batch of PDF's but $35 is a bit steep for that. Might try the trial all the same - anyone know if it's limited in some way (watermarked PDF's maybe?).
If it worked well I'd probably get it all the same (with apologies for the public display of indecisiveness !!)

Iconoid can hide your icons until you click your desktop - they will show then for a user-defined period of time - with choice to show or hide tray icon (access via desktop context menu if necessary)

I love it (= never have to think about it & miss it if off) :) and it works fine here with XP

I've found that the fastest way to get anything done is to slow down - Screw the "Big Picture" it's fuzzy chaotic and detail-less. Well defined problems always have simple answers and frenetic motion just wastes energy. Stick to the nuts & bolts.

Looking at a project in it's entirety can/will quickly overwhelm you, so just pick part of it, an small part and boil it down to its most basic form ... Then do that. And the next bit, and the next...and pretty soon you'll find yourself at the other end if it - Done. Now step back for a "Big Picture" view of only that project. If anything is missing do that (only), if not move to next project.

I'm thinking of maybe wiping off one of my computers, putting myself in a locked room and make sure the only thing on that computer is the project I wanna work on, and NOTHING else, not even pre-installed games like Solitaire and such lol

I tried that lately, dusted off my old laptop (which has no internet connection), cleaned up the contents a bit, spent an intense hour or so writing, & thought great - do that again tomorrow night.
The laptop died the next time I turned it on - I even lost what I had written lol

I dont think this is stupidity -
it's ignorance - these are mostly people who have never learned (in the sense of being taught, but maybe in every sense?!) about using a computer. Have you ever tried to teach beginners - they have an icon the desktop - that's the INTERNET, and god help them (and you) if it moves for any reason. They have no concept of what it is they're using or how it works. Search vs. URL's huh??? :huh: :huh: that's a more advanced science. I learned that way myself (without being taught & pretty much without help) but I was curious and interested - it still took years for me to understand lots of stuff (it was probably helpful I only had dial-up - I was learning at a dial-up pace) and I'm still likely to make very stupid mistakes with programmes - I'd be good to dummy-test apps for App ;)

Embedded SQL Database
An embedded Firebird SQL Database Server is now being used for the reference databases. This adds only 2 MB to the download and it does not need any configuration. It is used for SmartTracking, for the Destination Cache and for storing the checksums for Partial File Updating. The SQL server communicates directly via its DLL file, so there is no TCP/IP or other interprocess communication that would be seen by Firewalls. Embedded Firebird runs as part of the Superflexible or ExtremeSync processes.

Firebird is a great improvement over the old database structure, especially in terms of reliability and scalability. It can store an unlimited number of file entries and other data without becoming much slower. A separate database file is created for each job (like before). Old databases are automatically converted.

Differential Versioning Backup
You can now combine Partial File Updating with Versioning, Zipping and Encryption and use it with any backup storage location, including FTP and other Internet Protocols.

Checkboxes to choose:
- tab sheet Special: "Partial File Updating" (without Remote Service)
- tab sheet Zipping: "Zip Each File Individually"
 
The option "Filename Encoding" on the Versioning tab sheet is automatically active in this use case.
 
The Zip file sizes can now be limited too so that large files can be split (only in conjunction with Partial File Updating). The transfer can be stopped any time and zip parts already uploaded won't be lost.
 
Be sure to keep all zip files on the destination as they may all be needed to reassemble the file upon restore. Any older version can be restored by choosing the desired target date in the Restore Wizard, or by right-clicking the file in the Sync Preview and choosing the desired version. The option "Keep multiple files" is implied and does not need to be checked. It cannot be used to limit the number of older versions. All older versions must be kept on the backup.
 
A method to limit the number of older files that need to be kept on the backup storage is currently being developed and suggestions on the best strategy are welcome.
 
Block-level copying is applied to files which are at least 400,000 bytes in size. The granularity of the differential backup is determined dynamically for each file, based on its size. The smallest block size used will be 2048 bytes.
 
Each partial backup includes an MD5 checksum for each file, so that restored files can be verified to be 100% correct. You can see this in the file MD5.TXT that the partial zips contain.
