I was kind of satisfied with my home brewed project management system in Outlook until… now.

Question :

Do you know any affordable or free add-on/application to help managing projects in conjunction with Outlook’s “tasks” feature?


Here are some of the options I’ve found, googling around (maybe some will find it useful):

TrackerOffice :  Just mentioning it, even if not really an option : expensive and… “Minimum licensing begins at 50 named users, with a beginning price of $15,000 for a single module.”  Ouch.

- EasyProjectPlan (http://www.easyprojectplan.com/) (Excel Project Plan) :  Price:   $ 219.36 (CAD); pretty expensive if you ask me… [edit : 2007 10 25 -- 13 10 : Only expensive for a single user, not teams, since : " Each license includes UNLIMITED DISTRIBUTION to project team members" -- it should be noted though that "Each person accessing the EasyProjectPlan© Admin Screen must purchase a license".]  But seems to ingrate nicely with Outlook, lots of features… Excell oriented. A bit overkill for my needs, most probably.

    EasyProjectPlan features include:

Allows 2 levels of tasks, if I remember well?



4Team for Microsoft Outlook (http://outlook.4team.biz/) : at $49.95, it’s a deal, compared to other solutions… A bit too basic, maybe, as it doesn’t seem to allow nested sub-tasks (hierarchies of tasks). BUT, seems to integrate perfectly well with Outlook and does provide some kind of gantt chart functionality. Not sure if that solution is future proof… would have to try it.

- PLANTRAC-OUTLOOK (http://www.plantrac.fsnet.co.uk/overview.htm) : haven’t tried it  and have no idea how much $ it is. Also seems a bit overkill and… a tad old fashioned? [edit 2007 10 08 — 21:20 : yes, as Curt mentioned : known to work with windows 3.1 up to...2000. No mention of XP or Vista]

Zoot can be synced with Outlook and can be used to manage projects. like I said  here (https://www.donationcoder.com/forum/index.php?topic=10285.msg83872#msg83872) I didn't find it ideal to work with Outlook. Some of the reasons were :
    - Recurrence didn't seem to synchronize well,
    - Syncing seemed prone to errors (don't know why...)
    - "Sub-tasking" is not made much easier and does not transfer to outlook in a way that makes it easy to sync with a palm device (for example).

Open Workbench and  GanttPV are quite nice, of course, but, unless I’m mistaken, I don’t think that any of them interacts with Outlook’ tasks lists or calendar in any obvious way. Same thing for Zoho, actually. Seems very nice, but I don’t see any easy way to have it interact with Outlook…


Interaction/integration with Outlook is fundamental for me (all the add-ons and applications I've mentioned integrate in some ways with Outlook). This is where I manage my tasks and calendar events.

Armando, you may have read that full-featured project management is coming soon to SQLNotes in the form of an advanced Gantt chart. Other may not know, and so I wanted to mention this.

Combined with Ecco-style outliner/grid and an Outlook-linked calendar, you have quite the project management tool.

The calendar is expected in 2 weeks and the Gantt another 2 weeks after that.

You may able to modify TaskFreak to sync with Outlook Tasks.  TasksFreak does a decent job of creating a centralized location for tasks.  You can even mark tasks as public so your client can see its progress.

I'm more or less looking for a way to easily track progress and schedules (through gantt charts, preferably) and create nested hierarchies of subtasks -- I'm not sure the modifications you're referring too would be worth the trouble in my specific case. Do you use TaskFreak yourself?

PPLandry : thanks for the info, Pierre. I'll certainly be very happy to test any new version of SQLNotes, especially if it comes with some project management features! The Outlook-like calendar looks nice (ran the demo). It'll be interesting to see how it integrates with the other components...

First attempt at trialing one of the above mentionned solutions :
4Team for Microsoft Outlook

No luck. Error message at the end of the installation process : "ActiveX component can't create object at line 118 errors while creating scripting object "  :(

Tried to repair Office, repair my PST file, etc. To no avail.
I could contact 4team support, but will investigate other options before loosing to much time on that one.

Reminds me of the problems I had with MS Word, trying to install the Word Toys plugin. Maybe some conflicts between addins or somthing like that.

A pitty, the line 118 error, as I would imagine 4Team to be a fine affordable solution.
-Edit2: maybe you should try to close the firewall and install on top / again?

I think the number of tasks / subtasks / subprojects are unlimited:

The error 118 is probably VBA related, but I'm not a programmer, and have less and less time to tinker as we approach December.

Yes, the number of tasks / subtasks / subprojects might be unlimited, but, how many levels (if any) can the software accommodate (I'm talking about "nested" tasks hierarchies here). This is what I meant by : "a bit too basic, maybe, as it doesn’t seem to allow nested sub-tasks (hierarchies of tasks)."

Armando, keep an eye open for version 2.3 of Essential PIM Pro.  If you are willing to manage projects is a tree outline form, it may work for you.

Once the new version is out [by December at lastest], I expect to use it as a Getting Things Done manager.  I'll be doing a rather full review of the system I expect to work into the software.

Essential PIM Pro also sync's with Outlook.

I paid for the file on Sunday evening, and the email came to me Monday afternoon, my time.  I was starting to worry because it got caught in Gmail's spam filter, but all is well.  I will do a review this weekend after I get to play with it a bit more, but it is a very clever use of the the features available in Outlook.  Seems promising so far.

It looks like you have two distinct areas of need. On one hand you cited a number of planning tools like MS Project. On the other hand you mention a specific need for managing a set of current tasks through Outlook.

For the first set of requirements, I'm not aware of anything that integrates well with Outlook, but other than that there were already excellent options posted like Open Workbench.

For Outlook-integrated task management, I'd suggest looking at Zoot (http://www.zootsoftware.com/). This organizer is in many ways a successor to Ecco in the way that it allows a grid view of data. It allows hierarchical folders for your items, and you can define rules determining how things are placed into folders automatically (and in fact things can be in multiple folders, and can be allocated there dynamically!).

The biggest criticism of Zoot is that it's a 16-bit, text-only application. However, there's currently a public beta of a 32-bit port, and my understanding is that once its ported, rich text support will be the next feature added.

I think you missed the point with the price of the program. the license allows you to freely distribute the file to an unlimited number of people.

I am able to distribute my msp files to everyone who uses excel and the progeam has no install so they can open it as soon as they get the file.

Considering the cost of putting a Project Viewer on every desk top or installing Microsoft Project Server,  the EasyProjectPlan price tag is actually a fraction of the cost with no hastle.

Cost comparison:
1. $15,000 to $70,000 Microsoft Project Server
2. $3,000 to $30,000 Project viewer for 100/1000 users ($30 per license)
3. $200 EasyProjectPlan - unlimited distribution and no install program!

Hummmm... Thank you very much mitch_c. I'll check that one out and modify my first post. [Edit : actually, yes, it is a deal if you plan on sharing it with team members. (I wonder how the company controls that? OK, I got it.). Still expensive if you're buying it only for yourself.]

It looks like you have two distinct areas of need. On one hand you cited a number of planning tools like MS Project. On the other hand you mention a specific need for managing a set of current tasks through Outlook.

The reason why project planning tools are also mentioned is that I'm looking for a way to integrate my Ootlook task management with my project management. Like I said, I'd rather have only one set of tasks and not two, and I'd rather have my Outlook tasks working well with my project management software.

For Outlook-integrated task management, I'd suggest looking at Zoot (http://www.zootsoftware.com/). This organizer is in many ways a successor to Ecco in the way that it allows a grid view of data. It allows hierarchical folders for your items, and you can define rules determining how things are placed into folders automatically (and in fact things can be in multiple folders, and can be allocated there dynamically!).

The biggest criticism of Zoot is that it's a 16-bit, text-only application. However, there's currently a public beta of a 32-bit port, and my understanding is that once its ported, rich text support will be the next feature added.

I wasn't aware that Zoot could help managing Outlook tasks. I must say that I haven't trialed zoot that much since the 16-bit version wouldn't work properly on my system. Hence, I'm still waiting for the 32-bit version -- shouldn't it be out soon? I think I'll just try the public beta (http://www.zootsoftware.com/Downloads/Program/Download%20Beta.htm) since you mentionned it ! Thanks!

I tried zoot. I don't find it ideal to work with Outlook. Some reasons :
- Recurrence don't seem to synchronize,
- Synching is prone to errors (don't know why...)
- "Sub-tasking" is not made much easier and does not transfer to outlook in a way that makes it easy to sync with a palm device (for example).

[Edit : at the same time : I wonder if zoot could be used just to manage old outlook data... Like emails for instance... and Ultra Recall can do that too. Maybe could be useful for those with Huge pst files. Carol?]

I have been looking around this topic again and found the following 2 interesting projects. They don't exactly do what I want, but I think it's worth sharing them here. I looked at about 20, downloaded about 4 and only 2 are worth mentioning so far.

I like the idea of this one, it does the "juggle tasks and fit into calendar" that Above & Beyond does, but within Outlook

I'm going to struggle using it at the moment since most of the tasks in my outlook tasks list are tasks that others must do and I am aware of and checking on - also I often have a task for, say, 200 hour for an entire project (just to capture that) then other tasks which are subtasks which are a chunk of said 200 hours

Obviously if the software tries to juggle all these as real tasks i must do, things get messy (schedule ended up well into 2009)

Yes, both are interesting. I've tried to use Jello Dashboard in the past, but found it a bit to rigid. Nice (free) implementation of GTD in Outlook though.

Taskline looks nice too. Nice find! As most solutions, it doesn't address the lack of hierarchical lists in Outlook though.... hummmm.

How do you manage complex projects Iphigenie ? Do you also use MS project ?
