Inventory Software
« on: January 22, 2008, 12:58 PM »
Our school is looking for a good piece of software to help with inventory.  It must be able to record details about anything from a desk to a computer, printer, or even a bus!  If it could also record service info that would be good also.  I am thinking it needs to be able to work with bar codes and print out labels.  Printing reports would also be good.  it wouldn't have to be free but should be reasonable.

What have you guys used in the pass??  No, databases and me do not get along very well.

tanatos, we don't object to people on the forum arranging to work on paid programming projects outside of forum discussions, but this forum is almost exclusively about people coding stuff for free (though accepting donations after the fact if people want to support their work).

So while your intentions may be good, we discourage people from answering posts like this by offering to be hired for pay to do it.  If and when someone decides they want to hire a programmer for a job, that's a different matter and I encourage you to reply to such people directly.  Until then it would probably be better not to offer to work for hire when people post a request.  Might seem strange compared to other programming sites, but that's just the way we do it here.

Back to the subject, I know their are existing inventory programs, both local and web-based, i just don't know the names of them.  but surely some people here have some experience with them and it would be nice to hear from people who use such programs..

I am looking for those existing programs, just having problems finding one thats pretty much already setup for someone in IT to just start using.  We need if for insurance purposes as much as I need it to help me track what I have in what room or building.

I'm also interested in hearing what people use.  Hopefully we'll see some good pointers here, and please keep us updated in the thread with your findings if you try stuff and tell us what you come up with.

I will do that.  I just started looking a few hours ago but haven't found much taylored to my needs.  I suppose I could sit down with Access 2003 or 2007 or Filemaker Pro 8.5 and take a stab at it but building a database like this is kind of beyond my giftings.

State Farm Insurance has a free download on their site for an inventory program called Possessions Matters

I think it's a fairly old program, and probably focused on home inventories, but since it's free you might want to take a look. It says it can print insurance claims, theft reports, etc.

I haven't tried it.

There's also a free asset management program called Pyxis on http://www.freshney.org/. Says it's intended for home and small business and looks like it's fairly customizable.

Again, I haven't used it.

I'm the developer of SQLNotes (www.sqlnotes.net) which has been discussed here at DC. It is half way between an information organizer and a database. It is based on a multi-user database and can easily be configured to perform inventories. It is very flexible, so extra stuff like service info can be recorded. It can also print summarizing reports and charts. The one missing feature is bar code printing, but this could be added if desired. Finally, data can be read by (and exported to) MS Office applications (Word, Excel, Access) and other ODBC-enabled applications.

I looked briefly at the programs that dspelley mentioned but its not quite what I want.  I will take a look at the SQLNotes but not sure how hard it will be to customize.

Keep searching, i think it would be helpful to more than a few people to hear what you find.

I stumbled across this one last night  Inventory Solutions which is a $30 shareware program.  Its tailored to home/office/church but has a number of the features I am looking for.  I haven't looked at the reporting part yet but am thinking its lacking.

ps.  I did try attaching a screenshot I made using Screenshot Captor but it wouldn't post.  The attachment was only 126kb.

After trying it out a little more I decided that it wasn't quite what i was wanting.  Its not customizable and lacked some important (for me) fields that i thought it should have.  Here is a better link to the home page.  http://www.inventorysolutionsonline.net/

I guess I will give the SQLNotes a whirl and see if it is "user friendly".

I'll update the SQLNotes default template to include an inventory setup for you. Today or tomorrow.

If you want, list the information that you want to record and any other pertinent information. That will help me in creating the template.

Nothing is hard-coded in SQLNotes, so yes, you'll be able to change everything!

I just wanted to get an idea of your inventory requirements:
- Item name
- Item identifier (from bar code ?)
- Qty
- Approx. value or cost (gross, net)
- Location (i.e. room)
- Category
- Comments

It takes about 10 minutes to set it up

You guys might want to handle all the arrangements and back and forth details through personal messages so it doesn't get the thread off course. (but post the final results here please to keep us informed).

You might also want to consider Quicken Home Inventory.  Not sure if it will meet your business needs but worth a look-see.  I own it but as yet have not used it....however if you have specific questions or want me to send screencast, just let me know.
